Dealers and Installers: Ordering Spare Parts to Keep on Hand

Dealers, installers and service companies that keep Ella parts on the truck can request a batch of spares through support without opening a separate ticket for every item. Send the parts list with quantities, the tub models and sizes they fit, and the ship-to address. Support confirms what is in stock, packs the order and ships it by FedEx or UPS, overnight when you ask for it, and replies with tracking. Parts that are not covered by a warranty claim are invoiced and paid by card before they ship.

What to Include in a Stock Order

  1. The exact part names and quantities, for example two door seals, ten jet buttons or one 5-piece fast-fill faucet set with supply lines.
  2. The tub model and size each part fits, such as 30 by 52, 32 by 52 or a 60 inch model, plus the door side for hinge and gasket parts.
  3. The finish for faucet parts, spouts and hand showers, such as chrome or brushed nickel.
  4. The serial number of the installed tub for any item you are replacing under warranty, so support can tie the part to that unit.
  5. The ship-to address with an attention name and phone number, and whether you need ground or overnight service.
  6. Whether the parts should ride along with a tub order that is about to ship to you.

Parts Dealers Commonly Stock

Door seals and gaskets, door latches, push-button controls for the jet, air, light and microbubble systems, hand shower wands and hoses, drain assemblies, faucet sets with supply lines, water spouts, heaters, light assemblies, thermostatic control valves and the jets that mount in the tub floor. If you unbox a new tub and find a small part missing, mention it in the same request with the invoice or purchase order number so support can tie it to that unit. The general process for a single part is in how to order replacement parts.

Warranty Items Versus Billed Items

A part that replaces a defective one on a registered tub ships under the lifetime parts warranty at no charge once support verifies the claim, so include that tub's serial number and a photo of the failed part. Truck stock that is not tied to a claim is invoiced. The thermostatic control valve is a common example: its cartridge can usually be cleaned and reused, and the valve itself carries a 1-year limited warranty, so a new valve ordered for stock is billed. Support states what is chargeable in its reply and asks for a card to process it. Support confirms any charges for each order before it ships.

Shipping and Tracking

Stock orders leave by FedEx or UPS, and overnight service is available when a job depends on it. Support replies on the same email thread with the tracking number, and if an item was added, substituted or omitted the reply says so. If a parcel stalls or the wrong item arrives, reply on that thread so the history stays together. See replacement part tracking, faster options and Canadian shipments for what support can see on a parcel, and Where Is My Replacement Part? if a delivery is overdue. Parts can also be packed with a tub that is shipping to you, which avoids a separate parcel.

Before You Send the Request

Review support hours and what to have ready. Requests that arrive with model, size, door side, finish and quantities on the first email avoid a clarifying call and get packed sooner.

Common Questions

Can a dealer order parts for a tub still in its own inventory?
Yes. Identify the tub by model, size and door side, and by serial number or purchase order number if you have it. Say which items replace something missing on that new unit and which are extra spares for stock, and support confirms how each is handled.
Can parts ship straight to my technician's home or job site?
Yes. Give the full address, an attention name and a phone number, and note whether you need overnight service. Support sends the tracking number to you by reply.
Which stock parts are billed rather than sent under warranty?
Anything not replacing a verified defective part on a registered tub is billed, and support tells you which items in your list are chargeable before shipping. A new thermostatic control valve is a typical billed item because the existing cartridge can usually be cleaned and reused.
How do I get an extra door seal for a tub we serviced before?
Send the serial number and the model of that tub, the quantity you want and the ship-to address. Support ships the seals with tracking and can include an installation video so the seal seats correctly the first time.
Does the customer's warranty cover the parts my technician installs?
The parts warranty belongs to the original purchaser at the original installation address and covers parts only. Labor is warranted by the installer or service company, not by Ella's Bubbles.
