Why Payments Are Taken by Phone
Ella's Bubbles has seen attempts to breach its systems in the past, so the decision was made not to keep customer payment details in any database. Taking the card by phone and processing it immediately means there is nothing on file to be stolen later. It also fits the policy that many businesses and contractors have against sending card numbers by email. Please do not email a card number, even when replying to an invoice, since email is the least secure way to send it.
How a Phone Payment Works
- Have your proposal or invoice in front of you and confirm that the model, options, billing address and shipping address on it are correct. How proposals and invoices are issued is explained in placing your order and reading your proposal.
- Call (800) 480-6850 and say you would like to make a payment on your order or on a replacement part.
- Give the card details along with the billing name and address on the card. The team writes these on paper only.
- The charge is processed right away and the paper record is shredded.
- A receipt or paid invoice is emailed to you. Keep it with your order records, because a copy of the sales receipt is also part of your warranty activation.
Credit Card Authorization Forms
For some orders, particularly business, contractor and dealer purchases, the team may send a short credit card authorization form instead of taking the number by phone. Complete it, sign it and return it as instructed on the form. The same principle applies: the form is used to process the charge and is not kept as a stored payment record.
Other Ways to Pay
A credit card is the usual method. Contractors and businesses sometimes ask to pay by check or bank transfer, and the team can confirm what is accepted for a given order before you send anything. Parts that fall outside the warranty, or that you simply want to buy, are paid for the same way. The team confirms the part and issues an invoice, and you call in with your card. If the Card Is Declined
